How it fits
An organized internal workspace
An intranet is the private site where employees find policies, forms, announcements, procedures and the right person to ask. EVERNET plans and builds intranets around the information your staff actually look for, with clear navigation, access controls and named owners who keep content current. For organizations on Microsoft 365, SharePoint is often a natural fit, and we can also help you evaluate other platforms.
Who it suits
An intranet suits organizations that have outgrown shared drives and email attachments, firms with several offices or remote staff, and teams where new hires struggle to find the current version of a policy or form. Law firms, healthcare organizations and nonprofits often use one for procedures, HR documents, templates and internal news.
How we plan and build it
We start by asking staff and managers what they look for most often and where that information lives today. From there we design a structure organized around tasks, such as finding a policy, starting a process or reaching a department, rather than copying the org chart.
Next we plan permissions. We identify employee groups, managers, external collaborators and restricted areas such as HR or finance, and connect access to your existing staff accounts so joining and leaving are handled through the same process. We then build the site, set up navigation and search, and migrate the agreed content, retiring duplicates and outdated files rather than moving everything as is.
Before launch we test with representative users, including how search results appear and what restricted users can and cannot see. Each content area gets an owner and a review date, and staff receive short guidance on finding and publishing information. After launch, ongoing administration and changes can be handled through our support team.
What you provide and what you receive
You provide input from staff and department leads, the content to be included and decisions on who can see what. You receive a planned and configured intranet, documented permissions, migrated and organized content, owner and review assignments, and staff guidance. Questions before you get started.
What belongs on an intranet?
Prioritize information employees repeatedly need and that has a clear owner. Organize around tasks rather than reproducing a complex departmental filing structure. Sensitive material needs appropriate access controls and should not be moved simply because it is convenient.
How do we avoid an outdated document library?
Assign an owner and review date to important resources, establish one authoritative version and make replacement or retirement part of the publishing process. Search and navigation work better when duplicate and obsolete material is managed.
How should access be planned?
Identify employee groups, external collaborators and any restricted material before migration. Test representative users and offboarding behavior. The selected platform’s current access capabilities and the organization’s policies should guide the implementation.
